“How early should I book the venue?” This question runs through every engaged couple’s head. People often wonder: how early is too early? And how late is too late? How do you decide when to reach out and book? As a wedding venue, we have heard it all, so we wanted to answer

these questions to inform everyone and help relieve some of the planning stress.

What Time of Year Should You Book a Wedding Venue?

As a Michigan wedding venue, we understand the dilemma with the weather; you have to ask yourself: are you looking for a wedding in the fall with the colors of the trees? Or are you looking for a warm summer wedding day? This is a major determining factor of the ideal timeline due to peak season and off-season. Peak season for weddings is usually about May to October, though the off-season falls in the winter and spring months of November to April. Determining where your ideal date falls on the calendar will bring to light how much time you have.

When Should I Book the Venue?

The quick answer to this question is about 9-15 months in advance, but that is dependent on numerous factors. Especially the time of year you choose; if you are looking at a date in the peak season, then you would want to be on the higher side of the scale to be sure that your preferred date is available. But this only amplifies if you are looking at a date in the summer months of June, July, and August. These months are the most popular and will fill up the quickest, so if you are looking at these dates, then 15 months or more would be ideal.

Though if you are looking at a date in the off-season months, then you can plan for closer to 9 months or even a little less. Many venues have much more availability in the winter months and therefore are much more flexible, but you don’t want to cut it too close.

Another consideration will be the area you are booking in and the popularity of the venue. If you are booking in a large metro area at a popular venue, then the farther in advance, the better. If it is a less common venue outside the city, then you may have more time.

Keep in mind that most couples spend a month or two exploring options for the right venue. From searching online to venue tours, this is a long process. If you are unsure about taking that step, then you can read our blog post about taking venue tours here. But when you find the right one, you’ll know.

Day Considerations

Specific days are going to fill up faster than others. Through our experience, we have seen that Saturdays are the fastest to fill up; we have even seen some Saturdays in the summer book almost two years in advance. That being said, if you want a Saturday date, then it would be best to plan on the higher end for the venue booking. Though if you are willing to

do a day during the week, then you will likely have some more availability and some more wiggle room. Even so, if you are willing to go with either a Friday or Sunday, then you again may have a little more time.

Your Venue Should be the First Vendor

There is so much that depends on your venue; it only makes sense to lock in the right one early on. From the largest concepts to the smallest items, it all depends on the venue. Therefore, when it comes to planning, you want to be sure of the venue before you can get deep into the details. For example, the style of the venue may determine how you will dress for the event, like how a barn venue may require different attire compared to a ballroom setting. Or even, you need to be able to tell your guests where they will be going and be able to send an adequate invitation that shows the theme and the address far enough in advance to be sure your guests can be there.

Financial Aspects of Advance Planning

When booking in advance, be sure you understand the policies of the venue regarding prices. After all, you will likely have to put down a deposit to secure your date; this is the case for Pelister Park and most venues across the industry. Some venues also have a payment schedule, so being aware of this will give you more insight into how far in advance you will need to save the necessary funds. Furthermore, venues often update their pricing year after year, so when you book in advance, be sure that you are paying a specific amount and that you won’t owe more later because the pricing policies changed.

Conclusion

When you should book your venue is dependent on a lot of individual factors, but it is important to put it all together and arrange your venue early enough. A good rule of thumb to go by would be 9 - 15 months because you want to be sure you give enough time for planning and make sure you get your date locked down before someone else can take it. After all, booking your venue in advance gives you more time; this way you can plan your wedding with all your vendors, family, and, of course, your fiancé to make sure all the details go as planned well before the big day arrives.

Looking for a Detroit Wedding Venue?
